This is the Policy Statement on Waiting Time of Bensons Chauffeur Services Ltd

Bensons’ policy on waiting time has been agreed in order to provide a framework for when and where waiting time charges should apply.

The guidelines set out in this policy should be adhered to by all drivers and Bensons’ staff.
All clients and prospective clients will be made aware of and be in agreement with this policy.

Waiting time at pickup point

Drivers shall calculate waiting time from the moment of arrival at a pick up point.
Staff scanning dockets shall enter the full time calculated by the driver, only if it is signed by the passenger. 
All pickups are given a 10 minute free of charge wait period. Drivers will clock waiting time from the moment of pickup and our computer system automatically deducts the 10 minutes free of charge wait time.

Waiting time at a via point

Drivers shall calculate this waiting time from the moment they stop and wait at the via point. Staff scanning dockets shall enter the full time calculated by the driver, only if it is signed by the passenger.

Waiting time at an airport pickup

Drivers shall calculate this waiting time from the exact actual arrival time of a flight. Waiting time shall not be calculated from the point of driver arrival, nor the expected flight time arrival. Again, all pickups are given a 10 minute free of charge wait period. Drivers will clock waiting time from the moment of pickup and our computer system automatically deducts the 10 minutes free of charge wait time.
However, if a driver is lead by BAA or any other official airport information outlet to believe that a flight has landed when it hasn’t, then waiting time will be booked. In this situation, drivers are to include details of this on their docket, so that should a query arise, we have sufficient information to provide to the client.
Our procedure on airport pickup waiting times is universal to all airport jobs and shall not be altered for long haul flights where it is expected that the passenger will take a longer amount of time to come through arrivals.

Disagreements

Passengers must sign all dockets and also sign next to waiting time and extras.
Passengers must agree with the driver on waiting time. If there is a disagreement with waiting time then the passenger should contact Bensons and not sign next to the waiting time. In this instance, the Driver should also take their unsigned waiting time to the General Manager who will contact in order to resolve any issues as to why the waiting time was not signed. Such occurrences will be dealt with and resolved in the first instance to prevent any incorrect waiting time charges from being billed.

General

Car parking fees should be entered onto the extras box on the docket and should be accompanied by a car parking ticket to prove the cost. Any car parking fees entered onto the docket without the supporting car parking ticket will not be entered onto our system by Bensons scanning staff and therefore the client will not be charged nor the driver paid.

In case of a car park machine error, where a ticket is not issued, a driver is to get the passenger to sign the extras box to show agreement with the car parking fee.
Gratuities are to be entered into the extras box by the driver and signed by the client. Drivers are then to provide some information on the docket to explain the tip. Drivers should note that by doing this they will receive the whole amount as opposed to adding on extra waiting time of which we take 20%.

All dockets are to be handed in by drivers by 12 noon on a Tuesday, and Wednesday 12 noon on bank holiday weekends. Dockets with waiting time and extras handed in after this deadline shall not be charged to the client nor paid to the driver.

Drivers can telephone in their waiting time and extras, but must provide dockets and supporting information to the office as soon as possible.

Could drivers please not highlight any areas of dockets as this makes dockets ineligible later on and therefore can make invoice queries very tricky work.

Waiting Time Charges

Waiting time is charged at £2.08 per 5 minutes for a standard, business car, and occurs after the 10 minute free of charge wait period. This works out at £25.00 per hour.

Our executive and MPV tiers of service charge waiting time of £2.50 per 5 minutes, (occurring after the 10 minute free of charge wait period) working out at £30.00 per hour.

All waiting time is rounded to the nearest 5 minutes.

These are our standard charges, and we will not charge otherwise unless formally agreed.

No Charge Time Period

All clients are allocated a 10 minute free of charge wait time period, unless otherwise formally agreed.
